The use of this website and the services provided by The UK Careers Fair Limited are subject to these Terms & Conditions, all parts, and sub-parts of which are specifically incorporated by reference here.
Affiliate means an entity that directly or indirectly controls, is controlled by, or is under common control with that party from time to time.
Agreement denotes the contract you may make with us which incorporates these Terms and Conditions and the Privacy Policy and other documents provided to you by the Website.
Candidates means the individual attending the Event in pursuit of an opportunity.
Exhibitor means any organisation taking space at any Event which has been reserved either secured or provisionally secured a stand either online or via a request via invoice.
Event means a careers fair event organised and managed by us at a given venue where Exhibitors may book space in which they may promote career opportunities to Candidates.
Parties means the parties to this Agreement.
Services means any or all the services provided by us including the provision to Exhibitors of a guaranteed exhibition space inclusive of a trestle table, chairs and tablecloth at a selected Event. Provision through the Website of a dedicated Exhibitor management team to assist Exhibitors by email with questions relating to the Event and, at the request of the Exhibitor, the uploading of a vacancy notice to the Website (which potential Candidates may view and who may be contacted by us regarding the applicable Event) and social media postings by of the Exhibitor's posters or logo in advance of the Event.
Terms means these Terms and Conditions, our Privacy Policy and any additional or special terms that we make you aware of from time to time.
Venue means the location we have reserved where Events take place.
We, us, and our are references to The UK Careers Fair Limited; company number 11482834; registered office at Office 4, 3rd Floor Greenwood House, London Road, Bracknell, Berkshire RG12 2AA, United Kingdom.
Website shall mean and include https://www.ukcareersfair.com and any other website of The UK Careers Fair Limited or any of its Affiliates.
You means the Exhibitor.
PLEASE READ THESE TERMS CAREFULLY, AS THEY CONTAIN TERMS THAT IMPACT YOUR RIGHTS, OBLIGATIONS, AND REMEDIES IN CONNECTION WITH YOUR USE OF THE SERVICES IF YOU ENTER INTO AN AGREEMENT WITH US AND THE WEBSITE.
Your use of the Website (and use of the Services if you enter an Agreement with us) are conditional on your acceptance of and compliance with these Terms. If you do not agree to these Terms, you must cease using the Website immediately. We reserve the right to change these Terms at any time. By accessing, browsing, and/or using the Services after updates to these Terms have been posted, you agree to be bound by the updated Terms.
You must be at least 18 (eighteen) years of age to use this Website contained herein. By using this Website, you represent and warrant that you are at least 18 years of age and that you may legally enter into an Agreement. We assume no responsibility or liability for any misrepresentation of your age.
Exhibitor stands at our Events are usually booked by Exhibitors on our Website with immediate payment in full being made by credit or debit card. Rates and prices are published on the Website and may change from time to time.
You may on request defer your payment but, in any event, receipt by an Exhibitor of an invoice from us (which we send you whether you have already paid by card or not) denotes our acceptance of your booking and forms the Agreement which incorporates these Terms and payment must be carried out within 14 days of the date of the invoice.
Please note that by requesting an invoice to be raised on your behalf, you are agreeing to our terms and conditions set out on this page.
If you wish to cancel your reserved space at any Event, you must notify us in writing as soon as possible. All cancellations are subject to the full booking fee and no cash refund will be made. However, under our Book With Confidence term (below), if you provide at least 7 calendar days' written notice before the Event you may transfer your booking to an alternative Event or receive a full-value Event Token in place of the original booking. No credit, transfer or Event Token is available for requests made within 7 calendar days of the Event, or where an Exhibitor fails to attend without prior notice.
In the event that an Exhibitor defers payment of our invoice and fails to pay within the due date, we may terminate the Agreement but whether we do so or not, we reserve the right to demand that the Exhibitor pays interest on the overdue amount from the date due until payment of the overdue sum, whether before or after judgment accruing each day at a rate of 4% a year above the base rate of the Bank of England prevailing from time to time.
We reserve the right at any time to change the location of the Venue or the time or date of the Event to a reasonably suitable alternative where we have reasonable cause to do so. In that event, we will use our reasonable endeavours to provide you with space at the rescheduled Event that is as far as possible equivalent to that originally booked.
We shall not be in breach of any Agreement nor liable for any delay in performing or failing to perform any of our obligations under the Agreement if such delay or failure results from events, circumstances or causes that are beyond our reasonable control (Force Majeure Events). We accept no liability if an Exhibitor fails to attend an Event on account of a Force Majeure Event.
The UK Careers Fair's Book With Confidence term allows Exhibitors, subject to the conditions below, to either transfer their exhibition space booking to an alternative UK Careers Fair event or receive an Event Token equal to the value of their original exhibition space booking should they be unable to attend the event originally booked.
The UK Careers Fair reserves the right to amend or withdraw this term at any time.
We understand the importance of flexibility and we want to offer Exhibitors the ability to change their booking date or location without incurring a change fee. However, in order to ensure fairness for all our customers and prevent excessive switching and swapping of Events, we have implemented the following fair usage policy where Exhibitors may only request a change to their booking date or location once per booking, unless the change is due to government restrictions or conditions outside of our control. Requests for booking alterations can only be made by telephone or email, and must be authorized and requested by the Exhibitor. By implementing this fair usage policy, we hope to provide Exhibitors with the flexibility they need while also ensuring fairness and preventing excessive booking alterations if an Exhibitor fails to attend an Event that may impact the availability of our Events.
We can provide you with a floor plan and space specifications for the Venue upon request. While we make every effort to ensure the accuracy of these plans and specifications, we cannot be held liable for variations in the actual size or location of each exhibition space provided.
We may refuse to accept an order:
Filming takes place at most of our events. By attending, all attendees and candidates acknowledge that filming is occurring, and they may feature in the footage. Attendance at our events constitutes agreement to this filming and the potential use of such footage.
If you do not wish to be filmed or photographed, please inform us and the venue staff prior to the event. Exhibitors are also responsible for informing candidates by any reasonable means if they do not wish to be filmed or photographed.
Should you wish to request the removal of any personal or company-related media featuring you from our online or social channels, please let us know, and we will ensure its removal promptly.
No person who is not a party to this Agreement shall have any rights under the Contracts (Rights of Third Parties) Act 1999 to enforce any term of this Agreement.
You agree that the Website and all Services provided by us are our property, including all copyrights, trade marks, trade secrets, patents, and other intellectual property ("Our IP"). You agree that we own all rights, title, and interest in and to Our IP and that you will not use Our IP for any unlawful or infringing purpose. You agree not to reproduce or distribute Our IP in any way, including electronically or via registration of any new trademarks, trade names, service marks, or Uniform Resource Locators (URLs), without express written permission from us.
To the maximum extent permitted by law, you agree to indemnify, defend and hold harmless The UK Careers Fair Limited and its Affiliates and its and their respective current, former, or future officers, directors, employees, agents, successors and assigns and related third parties (each an "Indemnified Party"), for any claims, causes of action, debts, damages, losses, costs, liabilities and expenses (including reasonable attorneys' fees) relating to or arising out of any third-party claim that (a) your use of or inability to use the Services, (b) any user postings made by you, (c) your violation of any Terms or your violation of any rights of a third-party, (d) any breach of third party-owned intellectual property rights in any material used by you in connection with the Services, or (e) your violation of any applicable laws, rules or regulations, except to the extent caused by any unlawful or negligent act or omission by The UK Careers Fair Limited. The UK Careers Fair Limited reserves the right, at its own cost, to assume the exclusive defence and control of any matter otherwise subject to indemnification by you, in which event you will fully cooperate with The UK Careers Fair Limited in asserting any available defences. An Indemnified Party may participate in the defence by counsel of its own choosing, at its own cost and expense. You shall not settle any claim that adversely affects an Indemnified Party or imposes any obligation or liability on an Indemnified Party without the Indemnified Party's prior written consent.
Nothing in any Agreement limits any liability which cannot be legally limited, including but not limited to liability for death or personal injury caused by negligence and fraud or fraudulent misrepresentation.
Our total liability shall include liability for breach of contract and tort including negligence. Subject to the foregoing, our total liability to you shall not exceed the higher of the cost of the Services we provide to you under the relevant Agreement or £1000.
You understand and agree that we (A) do not guarantee the accuracy, completeness, validity, or timeliness of information listed by us on the Website or any third parties, and we (B) shall not be responsible for any materials posted by us or any third party on the Website. You shall use your judgment, caution, and common sense in evaluating any prospective methods or offers and any information provided by us or any third party.
Further, we shall not be liable for direct, indirect, consequential, or any other form of loss or damage that may be suffered by a user using the Website or the Services, including loss of data or information or any kind of financial or physical loss or damage.
In no event shall The UK Careers Fair Limited, nor its shareholders, directors, employees, partners, agents, suppliers, or Affiliates, be accountable for any indirect, incidental, special, or exemplary costs, including without limitation, loss of profits, loss of revenue, loss of business, goodwill, or other intangible or consequential losses, or any losses or damages not foreseeable by the parties at the date on which the Agreement was made that follow from (i) your use or access of or failure to access or use the Website or the Services; (ii) any conduct or content of any third party with respect to the Website or the Services; (iii) any content or result obtained from the Services.
The UK Careers Fair Limited warrants to the Exhibitor that the Services will be provided using reasonable care and skill.
We reserve the right to amend any description or expectation we give you as to the nature of the Event or the Services we provide as necessary to comply with any applicable law or regulatory requirement or reasonable requirement of the Venue providers, where the amendment does not materially alter the nature or quality of the Services.
You agree that your use of the Website and Services is at your sole and exclusive risk and that any Services provided by us are on an "as is" basis. We hereby expressly disclaim any express or implied warranties of any kind, and to the fullest extent, except to those that by law cannot be excluded or limited. We make no warranties that the Website or Services will meet your needs or that the Website will be uninterrupted, error-free, or secure. We also make no warranties as to the reliability or accuracy of any information on the Website or obtained through the Services. You agree that any damage that may occur to you through your computer system or because of the loss of your data from your use of the Website or Services is your sole responsibility and that we are not liable for any such damage or loss.
Occasionally there may be information on the Website that contains typographical errors, inaccuracies, or omissions that may relate to user descriptions, pricing, availability, promotions, and offers. In any event, we reserve the right, in our sole discretion, to make changes or modifications to these Terms and conditions at any time and for any reason. The Terms that applied when an Agreement was made will nevertheless remain the terms of that Agreement. We undertake no obligation to update, amend or clarify information on the Website, including, without limitation, pricing information, except as required by law. No specified update or refresh date applied on the Website should be taken to indicate that all information on the Website or provided as part of the Services has been modified or updated. Please ensure that you check the applicable Terms every time you use the Website or if you have entered into an Agreement with us so that you understand which Terms apply. You will be subject to and will be deemed to have been made aware of and to have accepted the changes in any revised Terms and conditions by your continued use of the Website after the date such revised Terms and conditions are posted.
Occasionally there may be information in the pack supplied to Exhibitors ("Exhibitor Pack") pursuant to an Agreement that contains typographical errors, inaccuracies, or omissions that may relate to the wrong information being provided or be in reference to a different event entirely. The Exhibitor Pack has been compiled for information purposes and we cannot be held liable for any information in the Exhibitor Pack. The information has been sourced from the Venue events team directly and/or search engines; in terms of the best advice, as always, we recommend contacting the Venue for Event-related queries such as courier services, parking information and general venue accessibility. Furthermore, we shall not be liable for direct, indirect, consequential, or any other form of loss or damage that may be suffered by a user using the Exhibitor Pack, including any kind of financial or physical loss or damage.
Occasionally there may be information conveyed via telephone, Live Chat or email that may contain typographical errors, inaccuracies, or omissions that may relate to the wrong information being provided or be in reference to a different event entirely. We provide this information to the best of our ability and cannot be held liable for any information provided verbally or by written methods; in terms of the best advice, as always, we recommend contacting the Venue for event-related queries such as courier services, parking information and general Venue accessibility. Furthermore, we shall not be liable for direct, indirect, consequential, or any other form of loss or damage that may be suffered by a user, including any kind of financial or physical loss or damage.
If any Term or provision incorporated in any Agreement is determined to be unlawful, void, or unenforceable, such provision shall nonetheless be enforceable to the fullest extent permitted by applicable law, and the unenforceable portion shall be deemed to be severed from the Agreements; such determination shall not affect the validity and enforceability of any other remaining provisions.
Each Agreement constitutes the entire agreement between you and us and supersedes all previous agreements, promises, assurances, warranties, representations and understandings between you and us, whether written or oral, relating to the subject matter of such Agreement.
Except as set out in these Terms, no variation of any Agreement shall be effective unless it is in writing and signed by the parties.
A waiver of any right or remedy under any Term or provision in any Agreement is only effective if given in writing and shall not be deemed a waiver of any subsequent right or remedy. A failure or delay by a party to exercise any right or remedy under an Agreement or by law shall not constitute a waiver of that or any other right or remedy nor shall it prevent or restrict any further exercise of that or any other right or remedy. No single or partial exercise of any right or remedy provided by any Agreement or by law shall prevent or restrict the further exercise of that or any other right or remedy.
These terms, any Agreement and any dispute or claim arising out of or in connection with such Agreement or its subject matter or formation (including non-contractual disputes or claims) shall be governed by and construed in accordance with the law of England and Wales without regard to any conflict of law provisions. You hereby agree that all disputes arising out of or in connection with these terms shall be submitted to the exclusive jurisdiction of the courts of England and Wales.

This Privacy Policy has been drafted to ensure that you can clearly understand our personal information practices as you use the UK Careers Fair platform, for both internal and external events (the "Platform"). The Privacy Policy explains the types of information we collect and how we control, process and handle it, with whom we share it, and your choices when it comes to the collection, use and disclosure of your information. Within this policy is how we protect the security of your Personal Information, and how you can get in touch with us about such practices, including your rights under current laws and regulations. This Privacy Policy is posted on external platforms/sites that we run for customers ("Customer Platform/Site"). Our customers are local/national companies, universities, public bodies, and member organisations, all of whom access our services to reach out to job candidates, students, or visitors in general. On such a Platform or Site, UKCF is collecting, processing, handling, using and sharing your Personal Information on behalf of our customer, not UKCF. Please contact the customer for information about how they will collect, use and share your Personal Information. The customer is in control of the Customer Platform/Site, and it is operated by UKCF on its behalf subject to the terms and conditions outlined in the prior agreement. If you interact with UKCF other than through a Customer Platform/Site, the UKCF Privacy Policy will apply.
A Customer Platform/Site may also enable you to interact with third parties ("Third Party") like a physical/live/in-person careers/jobs fair, whereby you can chat and exchange details with exhibitors on the day. In this scenario, your Personal Information may be collected, used, and shared by the Third Party according to any terms established between our Customer and the Third Party, as well as the policies of the Third Party, and your own choices and settings. The relationship with the Third Parties is managed by our customer, not UKCF; UKCF's relationship with Third Parties is limited to the terms of the agreement with our Customer.
This Privacy Policy incorporates by reference the Terms and Conditions for the Platform, which apply to this Privacy Policy. When you visit the Sites or Platforms, you agree to be bound by the applicable Terms and Conditions of the policy.
The Data Protection Policy employed by The UK Careers Fair Limited has been developed as an extension of our commitment to combine the finest quality services with the highest level of integrity in dealing with our stakeholders. This policy has been updated to be in line with GDPR standards in our on-going commitment to protecting the privacy and security of both the Visitors' and employers' personal information. This policy guides you through how we collect, store and use information about Customers, Visitors, Third Parties, individuals, and organisations. It will be continuously assessed against new technologies, business practices and the changing needs of everyone we deal with. Both a data controller and data processor are legally responsible for ensuring that the data subjects' personal information is handled in accordance with the laws on data protection. The UK Careers Fair Limited is a "controller" of the "subjects'" personal information.
The information we may obtain about you comes from various sources, including our Platform/Site, incoming telephone calls, emails, when you communicate via social media, when you download an event ticket or when you choose to participate in an Event. Information may also be collected from business associates or partners and other third parties and publicly available and accessible information, including from our customers prior to or during an event. We may also collect your information at different points in connection with our business and the Platform/Sites, including your expression of interest, registration, company-profile submissions, use of the Platform/Sites, interactions with us, live chat and during an Event, when applicable and when you choose to log on and attend our event via a social media profile to execute some of the features we offer.
Personal Information: This is information you choose to disclose, and information that identifies you, such as your email address, first name, last name, middle name, preferred name, contact methods, and social media profile — when you choose to log on with social media credentials to execute features.
Demographic / Socioeconomic Information: This is information you choose to provide or disclose with the relevant parties — employment status, education level, data that tracks a visitor's activity on our website or online service, experience level, postal code area, country of residence.
Aggregate Information: Such as ticket downloads, expression-of-interest forms, stands/pages visits, engagement rates, time on Platform/Site, Platform/Site uses for engagement purposes, and enquiry forms.
Automated Information: The information we collect when using our Platform/Sites by automated means, such as cookies. The information we collect includes, but is not limited to: device information about what devices our visitors use to access our Platform/Site; search terms used by Customers or Visitors in order to reach our Platform/Sites; pages and URLs that refer visitors to our Platform/Sites, and pages and URLs that visitors exit to once they leave our Sites; dates and times of visits to our Sites; information on actions taken on our Sites (such as page views, site navigation patterns or application activity); and a general geographic location from which a visitor accesses our Sites.
Preferential Information: This is information you choose to disclose or send through to the desired Customer or Third Party, including your employment status, work experience, CV, cover letter, skills, qualifications, certifications, the industry of interest, locations of interest for work purposes; by choosing to attend our event we also partake in filming and photography of events in which you may appear.
Visitor Identifiable Information: Includes elements from Personal, Demographic, Aggregate and Preferential information; not all elements apply and are dependent on the scenario. It is important to remember that you are under no obligation to attend a UKCF Platform/Site, and by using our Platform/Sites and choosing to submit information through them, you agree to the terms of the privacy policy and you expressly consent to the processing of your information according to this privacy policy.
Customer Identifiable Information: Includes elements from demographic, aggregate, preferential and personal information — any information that is not made available for public records, email address and the organisation's representative general contact information, locations of interest for employment purposes, job vacancies, billing information, exhibitor information, digital assets, and any other information required to host a customer event, content submission such as file uploads, online chat transcripts, third party company details for stand development purposes, and preferential information. If your relationship with us includes providing The UK Careers Fair Limited with any of the above data, we aim to delicately handle and process the above information with extra care. A Customer is anyone using our services in general and our platform to host their own event ("Customer Events"). UKCF is collecting, using, and sharing your Personal Information on behalf of our customer, rather than for the purposes of UKCF. This information is readily available to the Customer, and you should contact the customer directly for information about the data that has been collected.
The UK Careers Fair Limited collects the above information and data when there is a legitimate business need to do so. For the purposes of the visitor, we will use your information only when this has been provided by yourself or any other appointed agent. For the purposes of the customer, initially we will need your information to execute and perform our contractual duties and to simultaneously comply with legal obligations bestowed upon us. In repeat business scenarios we may use the provided information to pursue legitimate business interests of our own.
The purpose of the information we collect is outlined below. The list below is not exhaustive but helps to give a better idea of how we may use the information collected or the information you, in turn, have provided.
For the purposes of UKCF we may collect, compile, store, publish, promote, report, share or otherwise disclose or use all Aggregated Information collected or provided; however, unless otherwise disclosed in this policy or terms of service, we will not sell or otherwise transfer or disclose your Personal Information to a third party without your consent.
For the purposes of the Customers, UKCF may process, collect, compile, store, publish, promote, report, share or otherwise disclose any pre- or post-event analysis or information collected on the Customer's Platform/Site. Details of the data capture required and requested would have been agreed in the Terms of service or verbally agreed before the event takes place, so the measuring tools and facilities are in place. This data may contain your personal information; the data that we process through the Platform/Sites in that case is processed on behalf of our customer, and our privacy practices are governed by the service agreement or contracts that we have in place prior to the event taking place, with our customers. If you have any questions or concerns about this information and how such data is handled or if you would like to exercise your rights, you should contact the data controller — the Customer — who has engaged our services and contracted us to use the Customer Platform/Site to process this data.
For the purposes of the Visitor, your information will be handled and processed within the confines of The UK Careers Fair Limited. When applicable we may publish and release digital footage of our events in which you may appear; this footage may be on our social media accounts. We may also share demographic or aggregated information when it comes to advertising the event to companies. For the purposes of the Customer, we may share information for tax purposes with HMRC and third-party suppliers where the information is required to carry out our contractual duties.
Visitors will create a temporary account with us on the applicable Platform/Sites; UKCF will collect and retain information about you, some of which may be Personal Information. You may be required to provide additional information when registering for a Customer event including, but not limited to, photo, CV, work experience, educational qualification, location, skills, and industry.
The information you provide is collected by UKCF and is shared with the exhibitors participating in the Event, which may be the customer themselves or a Third Party. This may include personal information. Conversations and chat history are not kept on our system but may be accessible from a third party. You should always be wary of the information you disclose on a public stage or to a candidate if exchanging information, or disclosing information in a private matter — whether candidate to candidate or candidate to exhibitor. The information you choose to share is entirely optional, as is any information you decide to share within the event or beyond the registration point.
We may share your Personal Information with third-party contractors or service providers to provide you with the services that we offer you through our Platform/Sites; to provide technical support; or to provide specific services in accordance with your instructions as per the service agreement. These third parties are required not to use your Personal Information other than to provide the services requested by UKCF.
We may also disclose specific user information when we determine, in good faith, that such disclosure is necessary to comply with the law, to cooperate with or seek assistance from law enforcement, to prevent a crime or protect national security, or to protect the interests or safety of UKCF, our customers, or other users of the Platform/Sites.
You should be aware that any Personal Information you submit on the Sites may be read, collected, or used by other users of UKCF, and could be used to send you unsolicited messages. We are not responsible for the Personal Information you choose to submit to the Platform/Sites.
Please note that no electronic transmission of information can be entirely secure. We cannot guarantee that the security measures we have in place to safeguard Personal Information will never be defeated or fail, but we will always have measures in place. Therefore, although we are committed to protecting your privacy, we do not promise, and you should not expect, that your Personal Information will always remain private. As a user of the Sites, you understand and agree that you assume all responsibility and risk for your use of the Sites, the internet generally, and the documents you post or access and for your conduct on and off the Sites. To further protect yourself, you should safeguard your UKCF Platform/Sites username and password and not share that information with anyone. You should also log off from and close your browser window when you have finished your visit to our Sites. Please note that we will never ask for your UKCF account password via email. UKCF maintains administrative, technical, and physical safeguards designed to assist us in protecting the Personal Information we collect against accidental, unlawful, or unauthorized destruction, loss, alteration, access, disclosure or use.

Please be aware that our Sites cannot be used without cookies enabled. Our Sites also do not respond to web browser "do not track" requests. UKCF permits third-party cookies on its Sites.
